Pause, Think, Then Post

The pre-post experience is a local educational workspace for ages 13 and older. Draft text, context answers, and optional media previews are kept in the current page’s memory. Using the local text check or reflection checklist does not submit this content to our servers, save it to an account, send it to a language model, share it with staff, or include it in a brand or school profile. The optional AI action follows the separate consent and processing terms below. Use Clear to remove the workspace contents; leaving or refreshing ordinarily loses them, though browsers may restore a page. There is no draft archive or background draft collection.

The current feature uses limited English-language text patterns and your selected context. Images, video, and audio are not analyzed by the local text check. Optional AI review of still images requires a separate affirmative action and consent, as described below. Copying a caption or discussion prompts writes that selected text to your device clipboard; you control any subsequent sharing. Your device, browser, clipboard history, or extensions may retain copies outside AthleteAhead’s control. No social posting permission is requested, and the tool does not inspect unsent drafts in other apps. Normal site session and visit handling still applies, without draft contents.

Optional AI image and caption review

The pre-post workspace offers Picture, Draft, and Both modes with a local preview and reflection checklist. Choosing an image does not upload it. When enabled, signed-in adults reviewing their own proposed posts may explicitly request an OpenAI assessment. The resized image, caption, selected life stage, goal, audience, platform, and supplied context are sent through our server to OpenAI. The image is converted to JPEG and metadata is removed before transmission. Review is not available for guardian-managed or known under-18 accounts; no under-13 personal data should be submitted.

AthleteAhead does not save these images, drafts, context, or assessments in its database, object storage, account history, or staff dashboards. The server processes them transiently and requests no stored Responses API state. This does not eliminate provider abuse-monitoring records, which OpenAI may retain for up to 30 days, subject to its policies and exceptions. API content is not used for training by default. We record consent version, purpose, time, and account ID, plus hashed daily usage counters that expire after 24 hours and are removed during maintenance. We do not include content in those records or application logs. Cloud review is optional; use Clear to remove the current page contents. Cancelling in the browser does not recall a request already received by OpenAI. See OpenAI’s API data controls.

Assessments describe potential communication concerns, not character, eligibility, or opportunity outcomes. They are not automatically shared or used to screen athletes. No social content is published. Report mistaken or harmful feedback through Support; you choose the details included in the report.

Profile photos and search connections

Uploaded profile photos are stored with your account. The uploader resizes photos and removes location metadata. Photos are private until you select them for sharing or an opted-in directory listing. Replacing or removing a photo removes the old image from existing share links. Deleting your profile also deletes its stored photos, except restricted copies covered by a documented preservation matter. Photos are used for display, not facial recognition.

The site owner may connect a search provider. Its access key is stored encrypted and is not shown to athletes or other staff. Public searches send your authorized search terms to the provider. Linked social profiles do not authorize private account access.

Direct social-account connections

Adults may authorize their own YouTube, TikTok, or X account in Advisor → Connected accounts once the platform app is configured and approved. Authorization occurs on the provider’s website. AthleteAhead receives access tokens, not your social password. Tokens and platform app secrets are encrypted at rest and are never returned to other athletes or staff in the admin interface.

AthleteAhead reads limited public posts and the provider-reported counts described beside each connection. YouTube uses the YouTube API Services. Its read-only permission technically allows account reads, but AthleteAhead filters videos to public uploads. Protected X posts and metrics are excluded. TikTok access covers your basic account information and public videos. No posting, private-message, contact-list, or peer-analysis permissions are requested. Your snapshots stay private and are not automatically added to shared profiles.

Snapshots expire after seven days and are hidden when expired. Expired snapshots are removed during account access and scheduled maintenance. A successful refresh replaces the previous snapshot. Disconnecting deletes the local snapshot and tokens immediately and requests revocation from the provider. If provider revocation fails, remove AthleteAhead from that provider’s connected-app settings as well. You may also revoke YouTube access through Google’s security settings. Each account’s weekly refresh is a separate opt-in. It runs only with an active monitoring membership, saved weekly permission, and an operational schedule. Pausing refresh or revoking provider access does not cancel billing. The site uses Upstash QStash to deliver protected scheduled requests and stores aggregate job history for 90 days. Reports are delivered in the advisor. Optional generic email alerts are available when configured and enabled.

Your saved workspace

Your signed-in account owns your athlete profile, private notes, guided review, monitoring preferences, share-link records, saved athletes, and inquiries. Profile and review drafts are saved when you choose Save. Advisor actions such as marking a prompt done or updating an inquiry save when you take that action. We do not store these records in browser local storage. Unsaved drafts can be lost if you leave.

What can be shared

Profiles start private. You choose which sections and confirmed evidence appear in your media kit. The introduction includes the name, sport, position, team, broad region, headline, competition level, class year, and goals you provide. Private notes, unconfirmed sources, and the private advisor are excluded from the shared profile.

A share link holds a snapshot of your saved selections. The link expires after your chosen duration and can be revoked. Anyone holding the link who has access to this site can open it; a recipient label is only for your records. Later profile edits do not change existing snapshots. Downloaded PDFs and other copies cannot be recalled. Share links are not intended for search-engine indexing.

Discover and inquiries

Adult athletes can explicitly list their selected profile in Discover and choose whether to receive inquiries. The live listing reflects the latest saved sharing choices. Turning listing off removes it from Discover; separate share links must be revoked separately. A directory is visible to visitors with site access, and its contents may be copied by those visitors.

Signed-in adults can submit opportunity briefs for review. The organization’s locations, activity locations, compensation, category, timing, and contact details are visible to the sender and authorized reviewers. The athlete sees the brief only after an administrator records an eligibility and organization review. That review permits an introduction; it is not a guarantee, endorsement, or contract approval. Inquiries do not automatically send email. Updating an inbox status does not notify the sender.

Private eligibility details

You may save your age band, state or territory of residence, school or program location and name, governing body, association, and remaining athletic eligibility. These details are available to you and authorized opportunity reviewers, and are excluded from public profiles and share links. We record the scope, version, and time of your permission. Reviewers store source links, reasoning, organization verification, decisions, and expiry dates. Reconfirming or changing eligibility details pauses earlier introduction reviews until they are checked again. Details expire for introduction purposes after 90 days; each released introduction has a review period of no more than 30 days.

You may remove the saved eligibility form without deleting your profile. Review records remain with the related inquiry until profile deletion removes them; administrative action logs are retained separately under the policy below. Details are self-reported. We do not use precise geolocation, collect identity documents here, or infer your location from a photograph.

Athlete media studio

Your reel briefs, original videos, selected moments, draft outputs, and timed feedback are private to your account and authorized platform owners and administrators who provide editing support. Upload only footage you are authorized to use. Creating a project records your permission to process it. Browser draft creation processes footage in your browser and saves the result to site storage. If you explicitly request a cloud render after the operator connects Shotstack, selected source footage and titles are made available to Shotstack through temporary, scoped links so it can produce the video. No automated sports evaluation or performance prediction is performed.

Finished reels require your approval before a share link can be created. Anyone with an active link can watch or download that reel. Links expire after your selected 7, 30, or 90 days and can be revoked sooner. Changing the saved brief or selected moments invalidates sharing of older versions. Attaching a reel to a media kit does not by itself publish the kit. Guardian-managed athletes need guardian confirmation for sharing. Keep private contact and location information out of footage and titles.

Projects and uploads, including unfinished uploads, remain stored until you delete them; link expiry does not delete the underlying footage. Deleting a project removes its site-stored footage, outputs, comments, and share links. Deleting the associated athlete profile also deletes its studio projects. An active documented preservation hold can block studio deletion until reviewed. Copies already downloaded by recipients, local exports, and provider-held render data follow their separate retention controls and cannot be recalled by revoking a link.

Younger athletes

This launch accepts guardian-managed profile drafts for athletes aged 13–17. The adult account holder must attest they are the parent or legal guardian and that the athlete agrees to create the profile. This is self-attestation, not an independent guardian verification. The adult controls the draft and any media-kit sharing. Youth profiles cannot enter Discover or automated monitoring. Do not enter information about anyone under 13.

Sources and search permission

Adding a URL does not fetch its contents or connect a social account. You can add your own source links and import confirmed sources from your saved guided review. External search links in that review send your name, sport, and school to Google when opened. Other external links take you to the source’s website.

Automated monitoring uses Brave Search when the owner has connected it to search an adult athlete’s saved name, sport, team, and supplied public account paths within selected source categories. Activation requires the provider connection and appropriate storage rights, a recurring delivery service, and active membership access. Permission can be withdrawn in the advisor. Withdrawing it stops future authorized runs. Earlier monitoring reports are retained for up to 90 days, or removed sooner when you delete the profile.

When connected, searches return limited public web, news, and search-indexed social results. Search snippets may be incomplete or refer to another person. Candidate matches stay private and must be reviewed before they can be added to profile evidence. No face recognition, biometric matching, peer surveillance, private-message access, or inference of health, substance use, or protected traits is performed.

Platform administration and research

After signed-in activity, AthleteAhead stores your Site user ID, account email, display name, participation status, and an approximate last-activity timestamp. Authorized staff can manage participation and review submitted reports. Only authorized staff can access the control room, and access changes and case reviews are recorded in an administrative log.

The moderation dashboard shows reported inquiries and selected directory content needed to review a case. It does not expose private advisor notes or private guided reviews. A report is an allegation pending review, not an automatic penalty. Suspended accounts retain access to read or delete their own saved information and may submit a report to request review.

Staff research stores source links, published athletic observations, review notes, and organization or program leads. Competition categories are taken from the source, not inferred from appearance. Staff campaign tools prepare drafts and tracking links; they do not send email, publish social posts, or automatically add researched athletes to the platform. Administrative and report records are retained separately from athlete profiles. Closed cases are eligible for deletion 180 days after their last update unless staff record a specific investigation or legal retention hold. Dismissed research, closed opportunities, archived campaigns, and retired service records are eligible after 180 days. Research-run history is retained for 90 days and administrative audit records for 365 days. Active operational records stay available while they are in use.

Pilot applications, support, and participation reporting

The adult founding pilot stores the application details you submit, your contact permission and terms-version receipt, staff review status, and a response you can read in your pilot workspace. Authorized platform administrators can review applications and privately document organization verification. Applications are not public. You may delete your application from its page. Closed or declined applications are eligible for deletion 180 days after their last update. An internal opportunity draft created from a reviewed brand brief may remain without the private application contact details.

Support and appeal requests remain visible to the reporter in Support. Only the separate staff response is shown to the reporter; internal review and retention-hold notes are excluded. A report is not automatically an account penalty. A suspended user can still submit a request and read their cases.

AthleteAhead records limited first-party product activity for signed-in users: visits, profile starts and saves, checklist completion, share creation, discovery opt-ins, inquiries, confirmed findings, advisor visits, and pilot submissions. Records contain the site-specific account ID, activity type, and date, with no profile text, search terms, contact information, or third-party advertising identifiers. Activities are counted at most once per account, type, and day and retained for 90 days. Administrators see aggregate participation counts; active staff accounts are excluded. These counts do not track anonymous visitors or establish that one action caused another. Deleting an athlete profile removes that account’s stored activity records.

Report-ready notices and new inquiry counts are shown privately inside the site. Marking report notices read stores a per-account read timestamp. Optional generic email alerts follow your Activity preferences and the delivery controls described below. Retention cleanup is checked during authenticated visits and scheduled jobs, at most once each day. If the site has no visits or jobs, eligible records are removed when the next check runs. A case on a documented hold is kept until staff release the hold.

Advice and payments

The advisor currently generates preparation prompts using transparent rules applied to the information you provide. It is not a live AI conversation, independent verification, legal advice, a valuation, or an offer prediction. The rules-based advisor does not send inputs to a language model. The opt-in AI image-review action in the pre-post workspace follows the controls described above.

Stripe subscriptions are available only after the operator connects and enables billing and the underlying service. The current enrollment status, price, operator, support contact, and cancellation terms appear on the membership page. When you choose to subscribe, card details are entered on Stripe’s hosted checkout. Stripe manages payment records; AthleteAhead stores the subscription identifier and access status. Subscription cancellation is available through Manage membership in the advisor. Pausing monitoring permission alone does not cancel billing.

Deletion and access

You can delete your profile from its privacy controls. That removes the saved profile, share links, related in-app inquiries, saved-athlete records associated with it, monitoring history, connected-account snapshots and tokens, and pending authorization requests. An open checkout is expired first. If you have a subscription, cancel renewal before deletion; deleting data is not a substitute for cancellation. The guided review is a separate record and has its own deletion control. Other saved workspace information is retained until deleted. Social snapshots and aggregate job logs follow the shorter retention periods described above. Exported copies and payment-provider records are outside these deletion controls.

Hosting administrators can access stored data; storage is not end-to-end encrypted. The platform’s site audience controls also apply: an in-app link does not override who is allowed to enter the site. The support center and platform terms show the business contact once the owner publishes it. Publishing that contact and recording the launch checks are required before paid enrollment opens. Avoid uploading sensitive documents or entering private information about other people.

Learning, activity, and notification choices

Saved lesson actions, weekly goals, mentor discussion markers, and completion history remain private to your account and authorized operations staff where needed. You can delete the learning plan separately; deleting your athlete profile also removes its learning plan and activity records. Current terms acceptance is recorded by account, version, purpose, and time. Pilot feedback is private to the platform team.

Optional service email uses the email supplied by your signed-in account. When enabled and configured, Resend processes the recipient address and a generic workspace-update message. Private report details and inquiry content are not included in these emails. Delivery events record acceptance, delivery, failures, bounces, and complaints; bounces and complaints pause further emails. Open and click tracking are not used by AthleteAhead. Turn optional emails off in Activity. Unsent notifications expire from automatic email retry after 22 hours and remain in the app.

Support without an account

A public support request is stored privately and can be read using its random receipt. Only a hash of the receipt secret is stored. Keep the receipt private; it grants access to that request and response. Public support does not verify account ownership. The team may request appropriate verification before acting on a data-rights request. Rate limiting uses a short-lived hash of the connection address and date.

Documented preservation matters

When the operator has a documented legal or investigation need, the owner can preserve records for specific people under a recorded counsel instruction. Restricted copies cover relevant current records and subsequent changes or deletion, including related inquiry decisions and photos. OAuth tokens, payment credentials, and secret share links are excluded. Ordinary deletion and consent withdrawal remain available, but they do not erase properly preserved evidence. These copies are not used for discovery, marketing, monitoring, or athlete scoring.

Each matter records its scope, reason, directing counsel, and review date. Access is restricted and audited. Releasing capture does not itself erase preserved evidence; the owner must document the appropriate retention or deletion instruction. AthleteAhead cannot retrieve previously deleted data or control records held by outside providers. Contact Support to ask about deletion or applicable retention limits.
